Meeting Policies

By registering for Toledo CellulART, you agree to follow our meeting policies. These policies are designed to ensure a positive and productive meeting experience for everyone in a respectful and safe environment where every participant can connect, learn, and thrive. We ask that you take a moment to review these important policies - your cooperation helps make our community stronger. Thank you for contributing to a welcoming and professional meeting for all.​

 

Meeting Attendance and Session Etiquette

 
Waiver of Liability

All attendees assume the risks associated with participation in meeting activities, including those off-site. By registering, you agree to release, indemnify, and hold harmless Toledo CellulART, The University of Toledo (UT), and their governing bodies, officers, employees, and agents from any claims arising from your attendance.

Photo Release

Official photographers and videographers will be present at Toledo CellulART. By attending, you consent to the use of your image or voice in Toledo CellulART and UT publications, websites, and promotional materials without further notice.

Anti-Harassment Policy

Toledo CellulART is committed to providing a welcoming, safe, and harassment-free environment for all participants, regardless of personal identity or background. Harassment, misconduct, or biased behavior by or toward any participant—including attendees, staff, exhibitors, vendors, and venue personnel—will not be tolerated.

 

This policy applies to all Toledo CellulART events and activities. Violations may result in removal from the event, at the discretion of Toledo CellulART leadership. Toledo CellulART may update or modify this policy at any time without notice.

Recording, Photography, and Cell Phone Policy

 

Recording or photographing any speaker, slide, or session content is strictly prohibited unless you have written permission from the presenter and Toledo CellulART. Please silence cell phones and refrain from disruptive behavior during sessions.

 

Fire Safety Compliance

Follow all venue fire safety procedures, including clearly marked evacuation routes. Do not block exits or tamper with fire equipment.

 

Smoking Policy

Smoking, including e-cigarettes and vaping, is only allowed in designated outdoor areas.

 

Children Policy
  • Attendance

    • Children of meeting attendees, ages 17 and under, are welcome when supervised by a parent or guardian.

    • Children may join educational events if they don't disrupt proceedings.

    • Children 17 and under will not receive badges.

  • Stroller

    • Strollers are permitted at the venue, except during set-up and tear-down.

    • Please ensure strollers don't block aisles or emergency exits.

    • Be mindful of crowded areas and potential hazards at stroller-level.

Health and Safety Protocols

Toledo CellulART is committed to creating a safe environment for all participants while respecting individual health choices. These protocols are subject to change based on current public health guidance.

  • Attendees are encouraged to take appropriate health precautions based on their individual needs and circumstances.

  • There are no mandatory mask requirements for the 2026 meeting.

  • We support and respect personal choices regarding mask usage.

  • Attendees are expected to follow public health guidance and local regulations in effect at the time of the meeting.

Social Media Policy

Toledo CellulART encourages the use of social media before, during, and after the meeting. Note the following guidelines and accepted social media etiquette:

 

Do:

  • Use the hashtag #ToledoCellulART2026 for meeting-related tweets.

  • Follow us on Instagram at https://www.instagram.com/toledo.cellulart/.

  • Blog about the meeting and what you are hearing and seeing (but without sharing details of any data presented; follow journal rules about data sharing).

  • Provide feedback to Toledo CellulART Organizers—discuss topics of interest and/or speakers for next year’s meeting, make suggestions for activities, displays, or the poster session, comment on the meeting format, etc.

  • Keep criticism constructive and think about whether you’d like your thoughts shared widely—because they may be.

 

Don’t:

  • Use photographic or other recording devices, including video capture, screen recording, screenshots, audio recording, or taking pictures of speakers and their slides.

  • Capture, transmit, or redistribute data presented at the meeting—this may preclude subsequent publication of the data in a scholarly journal.

Presenter Policies

All presenters at Toledo CellulART are expected to uphold high standards of scientific integrity, transparency, and professional conduct. The following policies apply to anyone speaking or presenting during the meeting.

 
Conflict of Interest Disclosures

Presenters must disclose any financial relationships, funding sources, affiliations, or personal interests that could be perceived as a conflict of interest. Disclosures should be made clearly and at the beginning of each presentation and must reflect both current and relevant past relationships.
